Job summary

The Receptionist serves as the first point of contact for visitors, clients, staff and stakeholders. The role is responsible for providing professional front office service, ensuring smooth day-to-day reception operations, handling administrative tasks and supporting the maintenance of an efficient, welcoming and professional business environment.

Key responsibilities

Front desk and customer service – 30%

The Receptionist will be responsible for providing professional front desk support and ensuring visitors receive a positive first impression of the organization.

Key duties include:

  • Greeting and welcoming visitors in a professional and friendly manner.
  • Ensuring visitor handling procedures are followed, including:
    • Issuing access badges.
    • Registering visitors.
    • Notifying hosts.
  • Maintaining a clean and organized reception area that reflects the company’s brand and standards.
  • Managing incoming calls and enquiries, and directing them appropriately.

Administration and office support – 20%

The role also involves supporting administrative and office operations to ensure smooth workflow across departments.

Key duties include:

  • Receiving and registering all invoices from suppliers.
  • Dispatching invoices to the respective business units for further processing.
  • Supporting document handling, correspondence and filing.
  • Providing support to various departments with basic administrative tasks involving clients and visitors.

Customer experience and brand representation – 30%

The Receptionist is expected to represent the company professionally and contribute to a positive customer and staff experience.

Key duties include:

  • Upholding a high standard of personal presentation and conduct.
  • Acting as an ambassador for the company’s values and culture.
  • Fostering a welcoming and respectful environment for customers, staff and visitors.

Risk, governance and control – 20%

The Receptionist will support safety, security and risk control procedures within the reception area.

Key duties include:

  • Being in charge of First Aid at the reception area.
  • Ensuring the First Aid Kit is properly maintained.
  • Providing first aid to injured customers, visitors or employees at the reception.
  • Conducting surveys of the designated area to ensure any potential issues that could result in injury or incidents are quickly identified.
  • Ensuring front office doors, back doors and the turnstile machine are functional.
  • Reporting any malfunction immediately to the Security Manager.
  • Being in charge of the security guard at the reception area.
  • Coordinating with the Security Supervisor to resolve security issues at the reception.

  • Excellent communication skills in English and Swahili, both written and spoken.
  • Strong customer service orientation.
  • Computer practice, including Outlook, Word, Excel and PowerPoint.
  • Competence in Microsoft Office and office management systems.

  • First degree or Advanced Diploma in any discipline.

  • Strong verbal and written communication skills.
  • Professional appearance and positive attitude.
