Job overview

Job title: Human Resource Officer

Main responsibilities

Personnel records and HR compliance

  • Ensure that every new employee’s personnel file contains all required documents in both hard-copy and electronic formats.
  • Ensure that all employment contracts are accompanied by a detailed and signed job description and the Code of Conduct.
  • Ensure that all field staff sign the HR Code of Conduct and any job-specific codes applicable to their roles, including recovery agents, valuers and technicians. Update these documents as required.
  • Consult Heads of Department (HODs) regarding any revisions to existing job descriptions and ensure that updated, signed copies are kept in the relevant personnel files.
  • Manage and safeguard all staff files with the utmost care and confidentiality.

Onboarding, training and staff welfare

  • Prepare induction schedules and share them with the relevant individuals in good time to allow adequate preparation.
  • Ensure that all employees complete every required onboarding activity.
  • Enrol confirmed employees in the medical scheme as soon as they become eligible.
  • Follow up with the medical scheme provider to ensure eligible employees receive their medical cards.
  • Serve as the main contact person for employees who require outpatient or inpatient hospital assistance.
  • Share the approved panel of hospitals with employees.
  • Ensure that new employees receive their training letters.
  • Complete imprest forms for training allowances and follow up with the Finance Department to ensure that the required facilitation is provided.
  • Send a list of expected new employees and their required uniforms and equipment to the Group HR Manager to support advance preparation.
  • Prepare attendance lists and post-training reports for all new staff, Elites and participants in any other training conducted. Keep these records in the training file.
  • Ensure that every new employee has an induction schedule signed at each stage by the relevant HOD, together with details of the content covered.

Leave management

  • Prepare the annual leave calendar by requesting HODs to submit leave schedules for their direct reports.
  • Consolidate the submitted schedules to support effective workforce planning.
  • Track leave utilisation for all employees.
  • Advise HODs about outstanding leave balances for each employee to ensure that staff take their leave, avoid losing unused days and reduce the organisation’s leave liability provision.

Employee exits

  • Ensure that all employee exit procedures are completed and the relevant documents are retained in the exit files.
  • Confirm that each exit file contains the applicable signed documents, including:
    • Resignation or termination letter
    • Clearance letter
    • Exit interview documentation
    • Final dues tabulation

Health, safety and employee engagement

  • Serve as a member of the Health and Safety Committee.
  • Plan quarterly committee meetings and take meeting minutes.
  • Organise health and safety sensitisation forums.
  • Help ensure fire safety and general workplace safety.
  • Ensure that fire extinguishers are serviced according to the required standards.
  • Ensure that appropriate workplace safety signs and measures are in place, including exit signs, fire assembly point signs and installed CCTV cameras.
  • Compile content for the quarterly newsletter and submit it to Group HR for review, approval and distribution.
  • Develop a calendar of interdepartmental or subsidiary sporting events and ensure that all required event resources and arrangements are provided.

Recruitment support and additional duties

  • Send regret letters to unsuccessful interview candidates.
  • Perform any other duties assigned by the immediate supervisor.

Academic and professional requirements

  • Bachelor’s degree in Human Resource Management.
  • HR certification is an added advantage.
  • Two to three years of relevant working experience.
